About Us:

The Lotus Flower is a non-governmental organization which empowers vulnerable women and girls so that they are safe, have opportunities to learn, the tools to become financially independent and the freedom to lead change. We provide safe social spaces inside refugee camps and implement projects to help them rebuild their lives and earn a living. We run four women’s centers for the IDP, refugee and host community in Kurdistan 

Our programs are based around pillars from the UN's 2030 Sustainable Development Goals:

Our centers implement much-needed livelihood training, language courses, computer training, mental health support, fitness and health training, and awareness sessions and advocacy on women's rights and gender-based violence. 

We aim to provide the foundation for women to rebuild themselves, their families, and their futures. As local implementers, we work at the grassroots level to get right into the heart of communities, listening to local needs and employing local women to implement the programs. Our fundamental belief is that women and girls are powerful drivers of change, and we provide the support they need to reach their full potential and rebuild their futures.

Duties and Responsibilities:

1: Ensure the implementation and monitoring of the project

·       Participate with the Project Manager (PM) in drawing up the action plan, including setting the objective, and activity timetable in order to achieve the project results and follow up.

·       Prepare with the PM weekly work plans and follow up on the progress.

·       Ensure the quality of the project through reporting follow up, results and context monitoring, lessons learned and knowledge management, tools development and trainings with the PM and supervisors.

·       Together with the PM, set objectives, specific and general indicators in order to assess and monitor the impact of the project and to reshape them if necessary.

·       Work closely with PM to monitor the project indicators on a regular basis.

·       Supervise on a regular basis the implementation of protection activities in different project locations.

·       Ensure that the monitoring and evaluation tools are used properly by the teams, and organize training if needed.

·       If needed, develop new monitoring and evaluation tools and reporting templates for protection activities with the support of the PM and Protection Unit.

·       Identify and share with the PM any technical problems faced, potential risks and proposed solutions.

·       Deputise for the PM when absent for all the mentioned activities.

2: Management of the program team at field level

·       Supervise and follow the teams according to the daily / weekly tasks and staff planning.

·        Work closely with the Project Manager to provide trainings, on-job recommendation and capacity building sessions to the team when needed.

·       Organize regular meetings with Senior Case Managers and Field Supervisor.

·       Ensure that all staff respect confidentiality, security rules and follow ethical guidelines

·       Ensure the organization of conducting performance evaluations of the staff (with the PM) and support them to set objectives.

·        Ensure the team well-being.

·       Follow-up and capacity building of the team and supervisors

·       Conduct frequent field visits to monitor project activities and ensure activities are on track.

·       Provide technical supervision to the relevant staff as needed.

·       Ensure proper documentation and storage of documents by the project staff.

3: Logistics and administrative needs

·       Work closely with the PM to make sure that logistical, administrative and financial procedures linked to program implementation are followed.

·       Follow up and ensure that all administrative documents of all staff members are handed over on due time. 

·       Collect weekly the logistic needs and prepare the PRs in coordination with TLF logistics team.

·       Participate in logistic plan: team needs, manage field expenses, inventories etc.

·       Ensure that the teams are regularly up to date with administrative requirements in collaboration with the project manager.

·       Follow up on HR issues and report them directly to the PM and Admin department.

· Report, planning and communication

·       Report on a daily basis to the PM.

·       Collect data/reports from senior case managers and field supervisor.

·       Write activity reports and share it with the PM

·       Participate, under the supervision of the PM, in writing the monthly and final reports as well as new proposal for donors on protection programs.

·       Participate in writing articles, taking pictures, creating communication tools for the donor.

·       Participate in meetings, working groups, clusters, Camp Management meeting as per required by the PM.

·       Write the minutes of meetings when needed.

·       Participate in regular budget review and budget forecasting with finance department.

Required Qualifications:

·       Significant experience in team management.

·       Knowledge of project management; at least 2 years.

·       Experience in designing and facilitating training sessions.

·       Experience in community mobilization, protection and conducting outreach activities.

·       Very creative, active, positive and flexible. Sense of humour is valued for this position.

·       Good computer skills (MS Office, including Outlook for email).

·       Knowledge of the Protection System.

·       Good communication and reporting skills.

·       Good decision making and problem solving skills.

·       Good knowledge of the project management cycle.

·       Good social skills to establish relationships with women and Girls

·       Strongly motivated by humanitarian work.

Languages:

·        Mandatory: Fluency in written and spoken Kurdish, English and Arabic.
